SPECIAL EVENTS
Oxfords definition of Celebrate is “mark with or engage in festivities.” This term defines who we are and what we do.
Regardless of the scope of your special event; be it a themed private dinner for 20 or a gala fundraising event for 500, Celebrate offers the creativity and the defined capability to assist you in all of the aspects of the event from research through design, planning, event production and evaluation processes.
Creatively your options are boundless, and we are pleased to offer you the level of design involvement that suits you needs.
Special Event day coordination
This option is created for the client who wishes to plan their own event but wants to enjoy their time with friends and family:Included in Service:
- Meeting to develop itinerary, review vendor contracts and expectations and overview of details
- Site inspections
- Vendor confirmations
- Review seating list and ensure accuracy (if required)
- Liaise with entertainment on requirements
- Manage all vendors including final payments and tips
- Manage the day of events
- Consultation via phone or email
- All events of 60 people or more require an additional staff member which will be billed at $200.00 on the day
Full Service Design and Planning
Management fee determined based on scope of events and our involvement levels.This option is for the client who wants to be involved in their planning process but prefers to hire a professional to do the project management. “While you might have full creative control to build your dream home you will not want to necessarily put on the tool belt!”
Services include but not limited to:
- Research all aspects from location to accommodation options
- Procure and negotiate contracts with all vendors
- Refer and assist with vendor selection
- Schedule and attend all vendor appointments and site visits
- Designing and production of all aspects of the events
- Out of town guest coordination
- Develop and manage timelines for one or multiple events
- Budget consultation, preparation and tracking
- Stationary needs consultation
- Unlimited consultations via phone, email or in person
- Decor and Floral Services
- All Coordination services
- Activity bookings and scheduling
- Guest itinerary tracking and management
- Detailed guest/attendee reports
- Financial reporting (fund raising projects)
- On line event registration capabilities
- Event evaluations
